PHYSICAL PLANT DIVISION ONLINE CUSTOMER STATEMENT INSTRUCTIONS

 

The Physical Plant Division Customer Statements can be accessed from our web page at www.pp.msu.edu.  On the side bar, click “Customer Statements” or “Search for Requests”.  Either button will take you to the Physical Plant Customer Statement and Search for Requests Welcome screen.  This screen will also be used as a Bulletin Board to communicate billing related information.  After you click either Online Customer Statements or Search for Requests, you will be required to LOGIN.  Anyone with a MSU NetID can login.  No Password is required.

 

 

 

 

 


The dates for each Billing Period are listed separately.

 

Payroll Cutoff - last day of Regular and Student Labor included in a billing period.

 

Transportation Cutoff - last date of vehicle Rentals and Leases, Bus Rentals, vehicle fuel and repair charges included in a billing period.

 

All Other Charges -include Materials, Keys, Physical Plant fees and Contractor Invoices.

 

Export To GL - date billing records were submitted to the Fund Ledger system.

 

 

 

 

 

 

 

 

 

 

After you select Search for Requests or Online Customer Statements, you will be required to LOGIN.

 

 

Click the Login button  after entering you MSU NetID.  Do not use the Enter key.

 

 

Enter your MSU NetID as your Login Name.

 

 

 

 

If you selected Online Customer Statements, the following Screen will appear.  Enter the account you wish to view in the Account Number field.  Do not use spaces or hyphens.  The Bill Period will default to the most recent billing month.  Other billing periods can be selected by using the Drop Down list.  Click Get Statement to go to the next screen.  Do not use the Enter key.

 

 

To View Customer Statements: 

 

Enter Account Number, six digits without spaces or hyphen.

 

Use the default month or select a different Bill Period by clicking the down arrow and using the Drop Down list.

 

Click the Get Statement button.  Do Not use the Enter key.

 

 

 

 

 

 

 

 

 

 

 

 

The Customer Statements are displayed in the same order as shown on the Fund Ledger.  The order is CP, PR, GR, WO, SUP and ADJ.

 

 

 

 

 

 

 

 


 

 

 

 

 

 

 

 

If you click Search for Requests, you may either search by Request Number (CP, PR, WO, GR, etc.) or any of the second set of criteria; Requestor Name, Department, Building/Location, Building No or Status.  You can not do a query on a Request Number that starts with SUP or ADJ.

 

To search by Request Number: (CP99999, PR999999, WO999999, GR999999, etc.)

 

Enter number in the Request Number field.

 

Click the Execute Query button.  If your query returned no results, check the Request Number format and/or the Status field.  The correct formats are as follows; CP - 2 alpha, 5 numeric.  PR, WO, and GR - 2 alpha, 6 numeric.

To Search by Other Criteria, enter any of the following and click the Execute Query button.

 

Requestor Name – Any portion of the name can be entered, i.e. if ‘beth’ is entered, any request that has ‘beth’ as part of the requestor name will be listed – see below

Smith Elizabeth

Smith Beth

Smith Beth Ann

 

Department – Enter department MAU or click the Department button for a Drop Down list.

 

Building/Location – Enter the building number or location or click the Search button for a Drop Down list.

 

Building No – Enter the building number or click Building button for a Drop Down list.

 

Status – Determines which statements you will see.  Click Open, Closed or All.

 
 

 

 

 

 

 

 


 

 

 

 

 

 

 


A list of Requests matching your criteria will appear.  To view the Work Order Cost Summary Detail, click the Request No, WO Number or the magnifying glass.

 

Click on a specific Request No or WO Number to View the Work Order Cost Summary Detail.

 
                                                                                   

 

To see a list of all Projects and Phases associated with a specific Request No or WO Number click the Magnifying Glass.

 


A Work Order Cost Summary Detail will be displayed anytime you click on a specific Request No or WO Number.

 

 

 


 

 

 

 

 

After the Billed Cost Summary, all charges are listed by type of charge in detail.  The detail includes total charges billed by Billing Month and In-Progress Charges.

 

 

If there are In-Progress Charges, they will appear within each section with no Billed date.

 

Material Charges – Detail List of Material Charges.

 

 

Labor Charges -

Detail List of Labor Charges.

 

 

Adjustments – Detail List of Adjustments.

 

Invoice Charges – Detail List of Invoices, including Credit Memos.

 

Equipment Rental Detail - Detail List of Equipment Rental Charges.

 

 

Misc Charges Detail Detail List of Miscellaneous Costs –Stores Stock Charges, ORWM Charges, EAS Fees, Fuel Charges, etc.
